Automation & AI

Start with the process, not the tool

Richard JessepMay 2026

Automation and AI amplify whatever process sits underneath them. When the process is clear, automation removes friction and creates leverage. When the process is unclear, automation locks confusion into software and makes it harder to change.

Start where the pain is repeatable

The best automation candidates in an established business are not the most exciting ones. They are the repeatable, high-volume, rules-based tasks that consume management attention: quoting, onboarding, scheduling, reporting, follow-up, invoice matching, compliance handovers. These are the places where small improvements compound quickly.

Automation is not a technology decision. It is a process discipline supported by the right tool.

A practical sequence

  • 01Map the process end-to-end, including the workarounds people actually use.
  • 02Remove steps that add no value before automating anything.
  • 03Define the outcome and the measure of success in plain language.
  • 04Choose the smallest, most connected tool that fits the existing stack.
  • 05Pilot with one team, review after four to six weeks, then scale.

The same discipline applies to AI. The question is not "where can we use AI?" It is "which decisions or tasks would benefit from consistent, faster, better-informed judgement, and is our data and process good enough to support it?" The technology is the easy part. The process is the leverage.
